Pool Reservations

The pool area can be reserved for private functions after 5:00 pm to 10:00 pm on Wednesday, Friday, and Saturday night.

A homeowner can have no more than 3 reservations booked at any one time. The number of reservations includes the clubhouse and the pool.

The preferred way to make a reservation is by viewing the calendar on our web page at www.countryclubestates.org and sending an email request to Request Pool Reservation . If you have problems you can call Renee Farrell at 901 590-5109 but phone calls should be kept to an absolute minimum. Email is the preferred way. Be advised that the reservation folks are volunteers and it may take them a few days to get back to you.  Also they may already have a reservation for the date you request that they have not put on the calendar. Please be patient and considerate. If you haven’t gotten a reply or confirmation in 3-4 days then drop them a note.

In general reservations cannot be made more than 3 months in advance. Special events that require advance planning like special anniversaries and events where large numbers have to travel to attend will be considered on a case by case basis and require board approval. In no case can a reservation be made for more than a year in advance.

 To request a reservation more than 3 months in advance, contact the reservation person with a description of your event and why you need the special consideration. The reservation person will discuss it with the board and you will be advised if it is approved. There are special requirements for advance reservations. These are:

               Dues must be current. No reservation will be taken unless dues are current.

               The usage fee of $100, must be paid in advance upon board approval before the reservation is finalized and is non-refundable.

Reservations are for the sole use of the reserving homeowner and their guests. The reserving homeowner is responsible for taking care of the facilities during the reservation period and must be present for the event. The homeowner is responsible for cleaning and locking up after the event per the check sheet below.  Fees, work day credits, and clean up check sheets (if used) should be put in the locked mailbox at the rear of the clubhouse. The pool reservation fee is $100.

Reservations (not advanced reservations) must be cancelled 7 days prior to the event for a refund.

Reservations cancelled with less than 7 days notice require special procedures in order to avoid the usage fee or work day credit.  A board member must be notified of the cancellation in order to secure the pool area for the night.  A list of board members and their telephone numbers is at the pool and on this web site. A board member or volunteer will have to interrupt their schedule to come and secure the pool, so please be aware of the inconvenience of such short notice. The board member will determine (with others input if, if necessary) whether or not the usage fee can be waived at that time. 

In addition to the above described telephone notice, you should also put a note in the locked mail box at the rear of the clubhouse with the details so the monthly inspections person knows the circumstances of the short-notice cancellation. We recognize that putting a note in the box may not be possible under extremely unusual circumstances like sickness, emergency, etc..

If you start your event, then the usage fee or work day credit is required. 

Because we are mostly self maintained, equipment failures sometimes happen that can affect a reservation. If we have problems, we will notify you as quickly as we become aware of them and the current status. We will waive any usage fee or work day credit and you will have the option of proceeding at your own discretion if a major safety, health, or legal, issue is not involved.   

We do not have a janitor and are self-maintained. If you have an event, plan on coming early to do preliminary clean-up for your event. The pool will be in regular use during the day, so there will probably be some residual clean up required. This is especially true during periods of heavy use.

It is nearly impossible to clean the charcoal grill after use because you can't easily dispose of the hot coals and the grill will be hot, so please leave the grill to cool down naturally. If you plan on using the grill then plan on coming early and cleaning it out beforehand since it will most likely be dirty from a previous use.

A sign is provided on the side of the pool pump house to indicate the pool is reserved. If the homeowner wants to keep the event private, they should turn the sign to say Reserved to indicate that a reservation is in progress. They can leave the sign on the open position if they don’t mind other homeowners attending.  

Use your regular pool pass to gain access to the pool. Passes only work until 9:00 p.m. If you have a reservation, you must take possession prior to 9:00 p.m. or your passes won’t work.  You may prop the gate open during your reservation, but you are responsible for controlling admission.

The homeowner is responsible for the following items. A check sheet is provided inside the 

pool house near the closet and must be completed for every reservation.  Upon completion, place the check sheet in the mailbox at the rear of the clubhouse.
